Add profile images and descriptions to a dashboard

Give the values of a field, such as speakers, events or sponsors, an image, a description and a link, and show them on session cards and shared dashboards.

Profiles put a face to the names on your dashboard. A profile gives one value of a custom field, such as a speaker, an event or a sponsor, an image, a short description and an optional link. Session cards and tables then show that image wherever the value appears, so viewers recognize people and brands at a glance.

What does a profile show?

A profile belongs to one value of one field. If your recordings have a Speaker field, you can add a profile for each speaker. Each profile has:

  • An image, shown round or square
  • A Name, which must match the field value
  • A Description, up to 600 characters
  • A Link (optional), starting with http:// or https://

The image shows on session cards whose Image column reads that field, and beside the rows of a table grouped by that field. On a shared dashboard, clicking a grouped row opens a page for that value with its image, description and a Learn more link.

How do I add profiles?

You need edit access to the dashboard, and your workspace needs at least one custom field.

  1. Open the dashboard, click the three-dot menu, then click Settings.
  2. In Profiles, click Add profiles for another field, then choose the Field the profiles are for.
  3. Edit the Label if you want a different name for the group, such as Speakers or Sponsors.
  4. Choose an Image shape: Round or Square.
  5. Click Add profile, then click Add image to upload a picture.
  6. Type the Name exactly as the value appears in the field, then add a Description and a Link (optional).
  7. Repeat for each value, then click Save.

To add profiles for another field, click Add profiles for another field again. You can add profiles for up to 5 fields, with up to 60 profiles per field. Each field can have one group of profiles.

How are names matched?

A profile appears only where its Name matches the field value. Matching is not case-sensitive and ignores extra spaces, so “Ada Lovelace” matches “ada lovelace”. When no recording on the dashboard uses a name, the editor says No session uses this name. Each name can have one profile, so a second row with the same name is flagged.

Profiles match by the value’s text. If you rename a value on your recordings, rename the profile too.

Which images can I upload?

Upload a JPEG, PNG, WebP or GIF image of up to 2 MB. Speak AI checks the file itself, not only its name, so a file that is not one of those formats is refused. If you upload many images in a short time, you see Too many uploads, try again in a few minutes: the limit is 30 uploads in 10 minutes.

Who can see profiles?

Images and descriptions are visible to anyone with the dashboard link. Make sure you have permission to share them. Write descriptions as plain text, and add only images and links you are happy to make public.

Can I set profiles through the API or MCP?

Yes. Profiles are the settings.profiles section of a dashboard: a list of up to 5 groups, each with a fieldId, a label, an optional imageShape (round or square) and its entries. Each entry has a name and optional imageKey, description and link. Send the whole section with the dashboard’s current revision through the dashboards API or the update_dashboard tool. A stale revision returns a 409.

To add an image over the API, upload it to POST /v1/dashboards/{dashboardId}/profile-image as multipart form data and put the imageKey it returns on the entry. The MCP server cannot upload images, so add them in the app or through the API.
